What Flowtune Actually Does

Flowtune is a purpose-built process intelligence tool developed by DIGERA. It accepts PDF, Excel, Word, Visio, CSV, and plain text files — whatever format your process documentation happens to be in — and runs them through a structured AI analysis pipeline powered by Claude.

The output is a comprehensive, seven-section report that covers everything from a headline process health score to a phased implementation roadmap. Every finding is grounded in what was actually in your documents — specific steps, roles, systems, and decision points — not generic advice that could apply to any company.

The Seven Sections of a Flowtune Report

Every analysis produces the same structured output, regardless of the industry or department. Here's what's inside.

01 — Process Health Score

A single headline score from 0 to 100, calibrated against five process logic dimensions: step sequencing, decision point completeness, role handoffs, rework loops, and process triggers. Each dimension is rated Good, Warning, or Critical. The score gives you an at-a-glance read on whether your process is fundamentally sound, needs attention, or has critical gaps that are actively costing you.

02 — Diagnostic Quadrants

Four sub-scores that break down where the problems sit: Efficiency (where time and effort are being wasted), Clarity (which steps have ambiguous ownership or unclear criteria), Resilience (what fails if a person leaves or a system goes down), and Compliance (where controls are missing or unenforced). Each quadrant scores 0–100 and lists its top issues.

03 — Action Items

A prioritised list of 5–10 specific fixes, each tagged by effort size (hours, days, weeks, or months), impact level, type (Automation, Elimination, Clarification, or Control), and the quadrant it addresses. These aren't generic recommendations — they reference actual steps and roles found in your documents.

04 — AI Readiness Assessment

A maturity snapshot covering tech stack, data infrastructure, and team capability — each scored 1 to 5. The section identifies the tools and platforms already in play, surfaces the gaps that would affect an AI implementation, and produces an overall readiness rating so you know whether you're ready to start, well positioned, or still laying groundwork.

05 — Opportunity Matrix

Six to eight specific AI use cases ranked by a weighted score across impact (transformative value to the business), effort (how hard to implement), and time to value (how quickly it delivers results). The matrix makes it easy to see which opportunities are genuinely worth pursuing first — and which ones look attractive but carry hidden implementation costs.

06 — Implementation Roadmap

A phased plan — either 90 days or 12 months depending on the complexity of the organisation — with milestones, owners, deliverables, and expected ROI per phase. The roadmap is designed to be actionable on day one, not a conceptual framework that requires another six weeks of planning to turn into real work.

07 — Quick Wins

Exactly three automations achievable within 30 days, each with a step-by-step implementation guide, the tools required, the expected impact, and an effort estimate. These are the changes that build momentum and demonstrate value to the rest of the organisation while the longer roadmap work gets underway.

Seeing It in Practice

We ran Flowtune against a 16-page end-to-end procurement process guide — the kind of document that describes a real, moderately complex operational workflow used by an 8-person team running Oracle ERP.

The analysis completed in under two minutes and returned a process health score of 74 — rated Fair. The diagnostic immediately identified a Critical finding in the loops and rework dimension: a manual three-way matching step that triggered rework loops for invoice discrepancies, with no automated escalation path and no defined resolution owner.

The resilience quadrant flagged concentration risk — key approval authority sitting with a single finance manager, creating a single point of failure if that person is unavailable. The compliance quadrant noted that vendor performance tracking was documented as a requirement but had no enforced mechanism in the workflow itself.

Eight prioritised action items came back, the highest-impact being an automated invoice matching rule set in Oracle that would eliminate the manual review loop for standard transactions — effort rated Small (hours to days), impact rated High.

The supported file formats — PDF, Excel, Word, Visio, CSV, and plain text — mean you can work with documentation in whatever state it currently exists. You don't need perfectly formatted process maps. A written SOP, a spreadsheet with workflow steps, or an exported Visio diagram will all work.

What the Confidence Score Tells You

One of the more nuanced features of the Flowtune report is its confidence rating. Not all documentation is equally structured, and Flowtune accounts for this: a Visio diagram gives the AI richer signal than a plain-text description, so the analysis of a Visio file returns at High confidence, while a text document might return at Medium.

This transparency matters. It tells you whether the findings are based on rich, structured data or inferred from a less complete picture — and what you could do to improve the analysis. Upload a Visio file alongside your Word SOP and the confidence level rises. That feedback loop encourages better documentation practices as a natural side effect of using the tool.
